Vanex Currency Exchange Inc. (“Vanex”, “we”, or “us”) values and respects your privacy. We have prepared this privacy policy to explain the manner in which we collect, use and disclose personal information when you visit our website located at (the “Website”), visit our retail locations, interact with us through our WhatsApp channel, engage with us through our social media channels, and otherwise interact with us.

Vanex provides individuals and businesses with a range of services to assist customers with their foreign currency needs, such services include but are not limited to, currency exchange, international transfers, online payment solutions, digital currency transactions, and prepaid credit card solutions (collectively, the “Services”).

We may collect personal information when you:

Create an account: In some circumstances, you may be required to create an account in order to access the services. In order to create and administer your account, we may collect your name, username, email address, phone number, password, address, date of birth, occupation, nationality and citizenship. You are required keep your username and password secure and not share it with anyone else. We will never ask you for your password in any unsolicited communication (such as letters, phone calls or email messages). Further, if you create a business account or a student account, we will collect additional information related to your business or school. 

Access the Services: In order to access the Services, we may collect certain personal information which varies depending on the Services you are interested in. The information we collect may include your name, email address, information about your school if you require our assistance to pay your tuition fees (such as a letter of acceptance) and information about your suppliers and vendors if you require our assistance to pay such third parties in their local currency (such as names of your suppliers and banking information). 

Depending on the dollar value of the transaction, or the type of Service you wish to access, we may be required to collect additional information, such as government issued identification (passport or driver’s license), financial information, and other “know your client” information for identity verification purposes required under applicable laws including the Proceeds of Crime (Money Laundering) and Terrorist Financing Act (Canada), regulations and policies made thereunder and other statutes and regulations that take legislative measures against money laundering, terrorist financing and against financial dealings with certain sanctioned individuals and entities. This information will be used by Vanex for the following purposes: 

         Verifying identity and other information provided to Vanex (including information about your bank account); 

         Detecting and preventing fraud and other unauthorized or illegal activities; and 

         Meeting other legal and regulatory requirements.

In some cases, we may be required to schedule a virtual meeting with you to verify your identity. We will record the meeting for our record keeping purposes as required by applicable law. 

Purchase a Service: If you purchase a Service from Vanex, we (or our authorized third-party payment processor) will collect information such as your first and last name, email address, phone number, address, and your payment and banking information (depending on your payment method, this may include including billing address, name of your financial institution, bank account number, and transit number) in order to process your payment and provide the Services. 

Sign-up for our marketing communications: If you sign up to receive email marketing communications, we will collect your email address in order to send you information about our product, offers, and events. You can unsubscribe at any time by clicking the “unsubscribe” link included at the bottom of each email. Alternatively, you can opt-out of receiving email marketing communications by contacting us at the contact information provided in the “Contact Us” section below. Please note that you may continue to receive transactional or account-related communications from us.

Apply for an opportunity with Vanex: In connection with a job application or related inquiry, you may provide us with certain personal information about yourself (such as that contained in a resume, cover letter, or similar employment-related materials). We use this information for the purpose of processing and responding to your application for current and future career opportunities.

Contact Us: When you contact us with a comment, question or complaint through email, telephone or through our Website, you may be asked for information that identifies you, such as your name, email address along with additional information we need to help us promptly answer your question or respond to your comment, question or complaint.  We may retain this information to assist you in the future and to improve our customer service and products. 

Non-Identifiable Information: We may modify or aggregate your personal information such that it cannot reasonably be associated with you, for the following purposes:

(i) to protect your privacy and the security of your personal information; and 

(ii) to conduct research and/or analytics with the goal of improving our services and the client experience and developing new offerings. 

We may share such non-identifiable information or insights with certain limited third parties to assist in analytics, planning, or product and service development. 


We do not sell or disclose your personal information to third parties without your consent, except as set forth below or as required or permitted by law.

Service Providers: Your personal information will be transferred (or otherwise made available) to certain third parties that provide services on our behalf. We use service providers to provide services such as hosting the Website, processing payments, providing analytics and advertising and marketing services and providing security services. Our service providers are only provided with the information they need to perform their designated functions and are not authorized to use or disclose personal information for their own marketing or other purposes. We and our service providers may access, store and otherwise process personal information outside of Canada or the province in which you reside (which may include transfer outside of Quebec for Quebec residents), including in the United States, or other foreign jurisdictions, where we or our service providers are located. 

Legal and Compliance: We and our Canadian, U.S. and other foreign service providers may disclose your personal information in response to a search warrant or other legally valid inquiry or order, or to another organization for the purposes of investigating a breach of an agreement or contravention of law or detecting, suppressing or preventing fraud, or as otherwise may be required or permitted by applicable Canadian, U.S. or other law or legal process, which may include lawful access by U.S. or foreign courts, law enforcement or other government authorities. Your personal information may also be disclosed where necessary for the establishment, exercise or defence of legal claims and to investigate or prevent actual or suspected loss or harm to persons or property.

Sale of Business: We may transfer any information we have about you as an asset in connection with a proposed or completed merger, acquisition or sale (including transfers made as part of insolvency or bankruptcy proceedings) involving all or part of Vanex or as part of a corporate reorganization or other change in corporate control.


Visiting our Website:  In general, you can visit our Website without telling us who you are or submitting any personal information. However, we collect the IP (Internet protocol) addresses of all visitors to our Website and other related information, such as page requests, browser type, operating system and average time spent on our Website. We use this information to help us understand our Website activity and to monitor and improve our Website.

Cookies:  Our Website uses a technology called “cookies”. A cookie is a tiny element of data that our Website sends to a user’s browser, which may then be stored on the user’s hard drive so that we can recognize the user’s computer or device when they return. You may set your browser to notify you when you receive a cookie or to not accept certain cookies. Third-Party Links:  Our Website may contain links to other websites that Vanex does not own or operate. We provide links to third-party websites as a convenience to the user. We do not have any control over such websites, and therefore we have no responsibility or liability for the manner in which the organizations that operate such linked websites may collect, use or disclose, secure and otherwise treat personal information. We work with third parties such as ad networks and other advertising companies that use their own tracking technologies (including cookies and pixel tags) on our Website in order to provide you with tailored advertisements across the Internet. These companies may collect information about your activity on our Website and third-party websites (such as web pages you visit and your interaction with our advertising and other communications) and use this information to make predictions about your preferences, develop personalized content and deliver ads that are more relevant to you on third-party websites. We have implemented reasonable administrative, technical and physical measures in an effort to safeguard the personal information in our custody and control against theft, loss and unauthorized access, use, modification and disclosure. We restrict access to personal information on a need-to-know basis to employees and authorized service providers who require access to fulfil their job requirements.

We have record retention processes designed to retain personal information for no longer than necessary for the purposes set out herein or as otherwise required to meet legal or business requirements.
